Redact context as well as obvious identifiers

Removing a name does not necessarily remove identity. An unusual combination of location, dates, role and event description can still make a record recognisable. A screenshot may expose filenames, browser tabs or hidden metadata. A spreadsheet can contain comments, linked sheets or columns outside the visible view.

Before sharing, inspect the actual exported file rather than relying on its appearance in the editing application. When the purpose is to explain a schema, synthetic rows are often enough. Label them clearly so nobody treats them as evidence. Do not paste the original into a public model merely to ask it to redact the content; that would disclose the material before the redaction occurs.

A private environment is an architecture, not an adjective

That is a technical option to assess, not a promise that any hosted chatbot automatically provides the same protection.

Before selecting it, identify who authors the workload, who runs it, who grants access and who approves outputs. Check model hosting, external API calls, logs, backups and deletion procedures. If the proposed model sends prompts to an external provider, placing the surrounding application in a private cloud does not by itself keep those prompts inside the client's boundary.

End the first brief with a handling question

A strong initial message can finish with: we can share public references and a non-confidential schema now; the underlying archive requires internal approval. This gives the consultant an honest starting point and prevents a casual request for files from becoming an accidental disclosure.
